Bid writing fundamentals

Seasoned bid writers have a great command of language, and usually come from a strong academic background. Far from being an asset, however, spending time in academia can actually impede the bid writing process, as writers who have attended university tend to favour a wide vocabulary which is peppered with words to obfuscate meaning!

That said, it’s impossible to be a successful bid writer without having outstanding language skills. Being able to comprehend complicated bids which often come from technical industries is a huge asset when it comes to responding well to ITTs and RFPs.

The trick to effective bid writing is to understand the fine line between clarity of language, mirroring customer terminology, and keeping things concise and engaging. The power to take the important elements of a bid question and accurately answer it for a compliant result is more difficult than most people initially imagine when they sit down to write their first bid.

The following guidelines, though they may seem simple, are absolutely fundamental when it comes to honing your talents as a bid writer and securing a series of great wins for the organisation which you are representing.

Understand your audience
Knowing who your reader is going to be will make it much easier to write in the best possible way to secure a win. Reflecting client language is a great way of gaining acceptance for your bid, and the best proposal writers understand that they need to leave their own personality and writing style behind and be, in effect, a ghost-writer to mirror the style of the client completely.

Keep things clear
Regardless of whether you are writing a technical document for an IT company or the proposal for finding for a fashion show, it never pays to hide your meaning behind flowery language. Make things easy for your tender evaluator by setting things out with clear headings, keeping sentences short and using clear and informative language. Cut out the ‘fluff’ where possible and provide images, statistics and other visual data if allowed in order to break up text and illustrate your point clearly.

Keep things concise
No one has ever put down a bid at the end of a long evaluation process and thought “Wow, that was an amazing read.” Unfortunately, evaluators don’t read your literary masterpiece for pleasure. They are simply combing through the text to mark you off in terms of compliance. Because of this, concision is a gift which you offer your evaluators, enabling them to work through the bid in as short a time as possible, giving them the rest of the evening off for relaxing – which they may thank you for with a grateful uptake of your services.

Be engaging
Bids which simply take the question and rearticulate it are dry, to say the least. An element of creativity and positivity in the bid writer’s language will go a long way to securing the interest of the evaluator and preventing technical overkill. While humour, colloquialisms or other literary techniques are misplaced in the bid environment, presenting information in a lively and engaging way is a great way to keep your reader interested in what can potentially be a dust-dry document.
